PERSHING COUNTY HIGH SCHOOL ALUMNI ASSOCIATION
Alumni Board Meeting Minutes
June 20, 2012 5:15-6:15 p.m.
Attendance: Rachel King, Lynn Christofferson, Jerry Atkinson and Leslie Steward.
Treasurer’s Report: Checking $22,010.03 and Savings $3007.99.
Jennifer Hill from Wells Fargo to talk about a better interest for our monies. After much discussion about the checkbook, and when the checks were written and lowest balance, the Alumni Board decided to do the following: Jerry moved and Rachel 2nd, so carried with all in favor. The P.C.H.S.A.A. will transfer $10,000 from the business checking to a CD that will earn 1.14% per year for 58 months. This will be $114.00 per year interest. Jennifer will prepare the transfer and then it will happen, Lynn and Leslie will be added as signers. THANK YOU JENNIFER FOR COMING.
Lynn has the checkbook for the summer and will also get the mail until Jerry gets back in the fall. Alumni Banquet was discussed with the following points. Banquet June 9, fed 220 people. Good turn-out. Popejoy family $800.00 and Class of 1962 $740.00 on = $1540.00 “The Knife”
The Knife = scholarship monies and Dues = scholarship monies.
Perhaps corsages for next year: for Kristy and Patti, for that front table. They know it and do it so well.
Instead of waiting so late to go to school and talk to the Seniors, this scrapbook process will start in April with a simple flyer: “Hey Seniors, June 15th will be the 96th alumni banquet. Be thinking about Pershing County High School Alumni scholarships available. Turn in your scholarships to your counselor. Please start getting ideas for the scrapbook, check out the facebook page.”
We will go to school two times in April and in May also. We could email Bobbi Williams and ask her for her ideas because of the class of 1962’s great turnout. Patti from high school gets the generations, all set up.
Secretary put name tags in a class order. Separate those who haven’t paid.
Food table by door is not good. Decided this was OK.
On the bar list, we need lemons and limes.
Start stockpiling ICE about a week before. Do we have a better ice machine, or do we make arrangements to get ice from elsewhere.
Need the U.S. flag for the Pledge of Allegiance. Ask the Community Buiding if they have flags, or contact County Commissioners to find out why not.
Address how to handle LATE R.S.V.P.’s JUST LET THEM COME.
To decorate: need tape, string, scissors, keep extra tablecloths handy. Heads up for stores local.
Russell Fecht mentioned to entice seniors, maybe the fifth scholarship should be pulled at the banquet that way there would be more there. (Hopefully we will try some other things, this probably won’t work, as scholarships are announced at graduation.)
Jordan Pontius will help with a web page. We will start in the fall. I also talked to Amanda Burrows, she said if needed, she could help me. User friendly as possible to keep continuing.
Thank you notes and checks have been written. All bills paid by 6/11/12 and monies deposited on 6/11/2012, and checks cleared by 6/15/12.
Make a list of plaque engraving for Mr. Rowe to have engraved.
Put emails with names on data base. Laminate invitations for next year and place in business institutions and on post office pole, so there is lots of visual.
A couple of signs by the bar when the bar is closing, would be good for the bar patrons, so they use their bar tickets up before closing.
Concerning invitations, we send over 2,000 and get less than 200 back. This is a 10% return so next year, maybe we should request “Return service through post office printed on the invitation.”
Mr. Rowe will have the following plaque name labels engraved. Thanks, Mr. Rowe.
