PERSHING COUNTY HIGH SCHOOL ALUMNI ASSOCIATION
Alumni Board Meeting Minutes
March, 27, 2013 5:15-6:30 p.m.
Attendance: Lynn Christofferson, Leslie Steward, Jerry Atkinson, Rachael Leavitt, Lisa Booth, Rachel Craspay, and Wendy Nelsen.
Treasurer’s Report: Checking $7,875.83, Savings $3,009.24, Investment Time Account + Interest $10,085.62.
Lynn called the meeting to order at 5:15 p.m. Treasurer’s report was given.
Minutes were discussed with one rather large change. The week after the last meeting, the Cowpoke Café rescinded their bid for our Alumni banquet. Lynn has spoken with the Pershing County Chukars Unlimited organization and they will do the dinner for the cost of food. Lisa will ask Dan if P.C.C.U. will buy the food or if Alumni needs to purchase it. They will prepare the food, we will have to have some arrangements for picking up plates after we have eaten and clean-up. This will continue to be worked on. Could the leadership class clean-up? We will get hold of Cheryl Bjerke who supervises the youth work crew to see if they could do the final clean-up on Sunday, vacuuming and garbage removal. The Pershing County maintenance takes care of moving the tables. The extra monies received from the dinner will be put to additional scholarships this year.
Rachael and Wendy talked about Grads Giving Back. Rachael mentioned that the 5K will give registration monies to the Alumni for scholarship costs. This volunteer group is trying to get corporate sponsors to pay for T-shirts and breakfast. They are trying to bring back families with family activities in a “NO FUSS REUNION”. The events will start with a 5K run at 8:00 a.m. Saturday morning, followed by breakfast at 9:00. Runners will get breakfast and a shirt, non-runners will pay. At 9:30 there will be a 1 mile fun run for the kids. At 10:00 there will be a no-host reunion in the park. Chelsea Montes will take pictures in the park for milestone reunion groups. At 11:00 there will be a tour of the schools, beginning at Lovelock Elementary School then moving to Pershing County Middle School and finishing at Pershing County High School. Wendy mentioned the 5K will be in honor of those community members who are deceased and have served children and students. Being honored this year are Mary Ryan and Louetta Thomas. Lisa mentioned we have a lost a generation of alumni from about the 2000 on and that this sounds great to help bring those families back. All agreed.
Jerry read correspondence and advised the group that $170.00 had been banked in Memory of Anne Stone, a former teacher at L.E.S. with memorial monies to be used for scholarships as decided by daughter Joyce Vallandingham and family. All present signed a card of sympathy.
Jerry also read a very nice thank you note from Claudia Dennler, 2012 valedictorian, for her scholarship and monies.
A letter was also read from Temptations, advising us that they could not do the dinner, but could do smaller, intimate occasions, such as cocktail parties or luncheons at their facility with preplanned requests.
Mr. Rowe will pick up the invitations soon. Rachel C. suggested we pay for a return request on them, and she said we need to ask the P. O. for a return receipt request for bulk mailing. Lisa mentioned running the invitations thru if we have the printed “return receipt” preset on the city machine and paying the city for this if there is extra postage, Alumni can reimburse the City bulk mailing. We will come together within the next two weeks to get the labels on the invitations and in the mail.
The www.pchsaa.com web page has already received over 100 registrations and is being viewed. It is a GREAT looking site. She will continue to encourage people to register here. Rachael L. said we could set up a pay pal account on line to accept dues and dinner monies. The pay pal cost is about 2.2% + $1.00 for each transaction and that is the cost of convenience. We have to have tax ID # to get the best rates, so Jerry will call the bank in the morning to get this and give it to Rachael L. Lynn moved we do pay pal and Rachel C. seconded. Bios need to be finished by some of the officers. Rachael may change our picture to our senior year of high school. Fun!
Jerry Reid will be the DJ for $500. Lynn asked Leslie to have him write something up agreeing to this. The bar was discussed and we will purchase what we need at Safeway so that we may return unopened for our money back. Lisa will ask Sue to head this and get help. Lynn texted Patti and she already agreed to work the registration table, Rachael L. wants to have her computer on and there to collect more addresses. Great volunteers!
Jody emailed Jerry and will be here April 24th for the meeting and to attend to historian duties on the 25th of April at school. Mr. Rowe will assist in setting up the school appointment. Rachael L. will have a fun video to be shown at this time to the seniors.
